Tips for a successful implementation
You have been inspired and want to get started with new technology. I see many organizations struggling to apply this. How is this possible? The ambition and enthusiasm were there, weren't they? A clear need was defined, wasn't it? Precisely these issues call for further exploration. You do not want to answer these questions retroactively, but rather approach them proactively. This way, during a future evaluation, you will be left with answers instead of questions. We call this in-depth exploration implementation.
Where you currently want to turn your energy into action, I ask you to pause and reflect on the integration within your current work processes. You get it; now it’s up to your colleagues and clients. But how do you approach this?
My name is Gerben Venema, Implementation Consultant at VRelax. With ten years of work experience in healthcare, I think from the end user's perspective. Additionally, I am familiar with healthcare terminology and processes. This enables me to recognize pitfalls and turn them into opportunities, allowing us to make your ambitions and goals a reality together.
The implementation process is therefore crucial to ensure effective integration into existing processes, identify potential challenges, promote the acceptance of the technology, and achieve the desired result.
How do we do this? Below is the step-by-step plan for careful implementation:
Strategic Planning | From Vision to Expectation Management
Before we begin the implementation, it is essential to develop a clear strategy that defines the objectives, expectations, and scope of the implementation.
- Identifying problems
- Defining the goals of deploying this technology
- Identifying target groups
- Determining resources and timelines
Expectation management is an essential part of realistically evaluating the result at a later stage.
Stakeholder engagement | Not top-down but inclusive
Involving all diverse job profiles in the implementation process is of great importance. Consider support staff, subject matter experts, supervisors, managers, and other stakeholders. Creating an open communication channel and listening to stakeholder feedback can help reduce resistance to change and build support for the new technology.
Adaptation of processes | Product integration within processes
Sometimes, the implementation of new technologies requires changes to existing processes and procedures. It is important to implement these adjustments in a timely manner and to ensure that all stakeholders are aware of the changes and the new way of working. Building support is a necessary part of this.
Company Culture | From Acceptance to Integration
Is everyone ready for the new technology? You understand and are eager to implement it now. Great job, hold onto that energy! But your colleague doesn't understand that this is truly necessary. Working the old way worked just fine, didn't it? Doesn't this cost a lot of money? People are inclined to choose the easiest solution. This may not be the best solution, but it costs them the least energy. You, however, see the importance of change.
How do you ensure that your colleague starts to feel the importance of change?
Communication | Share progress and positive experiences
Sharing positive experiences is invaluable. It inspires colleagues who begin to see and acknowledge the added value of the new technology, creating momentum. When colleagues realize which problems are solved by it or that it is an ethically responsible alternative, they embrace it more quickly and consciously.
Monitoring | Ongoing attention
After implementation, it is important to continuously monitor and evaluate the performance and impact of the new technology. This includes tracking key performance indicators, gathering user feedback, and identifying any bottlenecks or areas for improvement. Regular evaluation ensures that the new technology continues to meet the set goals and expectations.
Success | A careful implementation process
Together, we have thoroughly analyzed the vision and expectation management. Through strategic planning, stakeholder management, process adjustments, and the management of corporate culture, communication, and monitoring, we ensure structural quality.
VRelax Implementation | Converting ambition into SMART-formulated action
At VRelax, we want to create future-proof healthcare. More than anyone else, we recognize the importance of careful implementation and training.
In a 2,5-hour on-site training session, I train a core group with whom we will shape the work process. During this session, I share successes and pitfalls from other organizations, and we focus on constructive dialogue and effective decision-making.
After getting on board on content (VRelax) and practical aspects (VR headset), we get started with the implementation process. In this phase, all insights come together in concrete agreements. We get to work using Design Thinking. You now work consistently, you can monitor in a targeted manner, and scale VRelax more easily.
After the training, you will receive extensive documentation and supporting materials. Annual follow-up ensures that we can continuously strengthen your organization.
We remain involved | We hold repeated consultations to determine what is needed to continue strengthening you.
